Event Description and Key Objectives

FIS 100 Party was a part of the five-day FIS Spring Meeting conference. The party was hosted in Portorož by the Grando Salt Storehouse. In the first phase, we helped the client to resolve the challenge related to setting up an innovative winter après ski “meeting area”. In the second phase, we also took care of the majority of the technical design for the wardrobe, the decoration of the outdoor space by the sea, guest handling, and the party with a DJ. The event was attended by around 700 participants from the world of winter sports, precisely 14 disciplines from around the world.

Key challenges

The event took place in the historically protected Salt Storehouse facility in Portorož, which was challenging for two reasons – we were not allowed to interfere with the facility from the technical point of view, and the floor was humid and warped due to salt and humidity, meaning that the flooring could not be glued to the floor for safety reasons. As far as the decorative elements were concerned, the client’s condition was to not only include the equipment manufactured by the Slovenian company Elan, but to also feature as many global brands as possible, as well as equipment for para-athletes, which is a rather undeveloped domain in Slovenia. The last challenge to overcome was greeting visitors at the entrance: in less than an hour, we had to welcome approximately 700 guests who all received QR codes, and also find a solution for anyone who was unable to access said QR code at the entrance.

Creativity

Describe creativity in your approach and originality/uniqueness of the concept of the event itself We set up a cosy “après ski” area of over 130 m2, which also included the previously existing installation in that space. We designed stickers to cover electric cabinets in a style similar to the design of the wall, which helped us ensure that no undesired elements would be visible in photographs. In the photo booth, we used AI in order for the photos to create a realistic feeling of travelling with a cable car in a ski resort. In the open fireplace, we recreated the appearance of a glowing fire, and also installed street lamps that allowed visitors to be able to safely move around the area while also emphasising the feeling of an outdoor après ski party.

Innovation

Describe innovativeness in the organisation, content, programme design and technical support We turned defunct cable cars from Slovenia into “Eat & Meet” stations which also featured the possibility of individually closing the doors for an intimate one-on-one conversation. We used local wood to create tailor-made multi-purpose signposts with the indication of all 14 sports under the auspices of FIS. We created a huge, unique cable car prop for the photo booth where people were able to take photographs at three different heights, and also added various skiing equipment that the participants could wear, which allowed them to become further immersed into our virtual ski slope.

Execution

Two months before the event, we met the client at the location, clearly discussed mutual goals and expectations, and planned online meetings in advance. Together with other partners, this allowed us to successfully balance the client’s wishes with the provision of additional solutions and elaborations of the project. The scope of the project called for the creation of subgroups within our team; even though the client’s first task for us was to design the cosy area, we finally also set up the interactive photo booth and took care of the wardrobe, guest handling, the decoration of the outdoor space, the entrance and the selection of the DJ for the closing party. Since three partners were selected for the execution of this project, this allowed us to communicate rather quickly and efficiently. Rather complex logistics played the pivotal role at the beginning of the assembly for the project (trucks cannot simply drive into Portorož, and we also had to start the setup in due time, logically adapt the steps for the positioning of individual elements, and respect the timeline for the use of mechanisation).

Measurable results

At the entrance, four hostesses were able to welcome over 500 guests in no more than 50 minutes thanks to external software. The party featured a pop-up wardrobe where 278 guests left their outer garments. 5 cable cars allowed for 20 intimate dining spots for over 89 groups of individuals to dine and spend time together. The biggest attraction of the evening was the interactive photo booth were 770 photographs were printed during the party, and 457 QR codes were issued for viewing and sharing said photographs.

Communication

The communication between the client and the participants took part at an internal level, seeing as the FIS 100 Party was a part of FIS Spring Meetings which was hosted by Portorož this year. We supported the client in terms of guest handling for the participants of this party. The purpose of the event was to make it possible for the participants of the conference to take part in a relaxed get-together; the event was a cherry on top of the successful multi-day conference for the participants from all around the world. During the event itself, over 770 photographs were printed at the photo booth, and 457 QR codes were scanned for further sharing of said photographs. On the Promotive LinkedIn profile, two publications garnered 42 likes, 7 comments, 5 shares and 1,055 organic views. The International Ski and Snowboard Federation's broad channel, which includes news articles on its website, Instagram Highlights - cross-posting between the Alpine, Cross Country, Ski Jumping, Nordic Combined and Freestyle channels, Facebook Highlights, Instagram Stories and Instagram Followers story shares reached 324.295 through their own social media channels.

Sustainable practices

Since all people involved in the process were coming from different geographical areas, we preferred online meetings which allowed us to reduce the number of business trips. With other participating teams, we agreed to share technical mechanisation for assembling and disassembling that was provided by a local provider. Defunct cable cars from the Slovenian ski resort Kanin were used as the main attraction of our setup. We also made sure to include natural materials for signposts, wooden chair, interior design equipment etc. The majority of themed decorations were obtained in second-hand shops and later added to our scope of in-house decorations. We implemented the existing infrastructure into our layout, without interfering with the historically protected building. Since the building manager loved several of our solutions, they asked us if we could leave them at the location so that they can use them for their future events. During the event, we provided our team with accommodation at a suitable distance so that they could access the location on foot.
